How Healthie automated sales call coaching and churn alerts with Zapier Agents

Healthcare software company Healthie built Zapier Agents that review sales calls, draft follow-ups and flag churn risks across its systems. Zapier reports large weekly time savings for sales and customer success.

The problem

Call coaching and follow-up were sporadic and slow. Managers had no time to review calls, reps spent extra time logging notes and drafting emails, and churn risk was spotted only after the fact.

How they did it

  1. Built call coaching and summary agents that run on Zoom recordings. They score calls against the SPICED framework, post feedback to Slack, create Salesforce records and draft follow-up emails.
  2. Built a weekly account-health agent that checks Salesforce, HubSpot, Vitally and Help Scout for churn signals and posts summaries to Slack.
  3. Added a weekly agent that pulls quarterly business review (QBR) feedback from Vitally and shares trends in Slack.

Results

  • Zapier reports 60+ hours saved per week across Sales and CS.
  • Each agent saves an estimated 2–3 hours per rep per week, plus 1–2 hours of manager time each week.
  • About 20 reps and CSMs use the agents.

This suits a sales and CS team of around 20 that already uses Zoom, Salesforce, Slack and a CS tool like Vitally, since the setup is mostly connecting those systems. Watch the activity quota: the Free plan allows 400 activities a month and Pro 1,500 ($33.33/mo), and several agents running per call could use that up. The 60+ hours saved is Zapier's own figure. n8n (Free) is a self-hostable alternative.
